Privacy Notice

Language Partners values the trust you place in us as a client, course participant, trainer, or partner. Privacy is a fundamental right. We treat all personal information you provide with the utmost care and confidentiality.

This notice explains how Availio (the Language Partners planner for availability and scheduling) processes personal data. For Language Partners' general privacy policy, see also languagepartners.nl/en/privacy-policy.

What data and why

Availio processes personal data to plan and deliver trainings:

• Participants: name or tag, availability, access links, training assignments.
• Trainers: account details, profile, availability, exceptions, assigned trainings, and submitted lesson reschedule requests.
• Planners/administrators: account details, MFA settings, and audit logs for security and privacy requests.
• Training data: schedules, snapshots, notifications, buffer weeks, and progress data recorded in the planner.
• Location data (optional): approximate coordinates or route distances when location-based trainer matching is enabled.

Lawful bases include contract performance, legitimate interests in secure and efficient planning, and legal obligations where applicable.

Retention in Availio

• Participant data (name, email address, availability, access links, evaluations and certificates): 365 days after the training buffer period ends.
• Training schedule snapshots: 365 days after the buffer period ends.
• Training notifications: 365 days after resolution.
• Login attempts: 365 days.
• Expired trainer exceptions: 365 days.

Broader course administration outside Availio follows Language Partners' statutory retention periods (generally 5 to 7 years after a course ends).

Recipients and transfers

Data is processed by:

• Supabase (hosting, database, and authentication) in Europe.
• Mapping and routing services (e.g. OpenRouteService, Nominatim, OSRM) when external geocoding is enabled.

Processor agreements are in place. Data is not sold or shared for advertising purposes.

Availio uses only functional cookies. See the cookie notice for details. This application does not set analytics or marketing cookies.

Your rights

You may request access, rectification, erasure, restriction, or objection via privacy@example.com. Staff with admin access can register privacy requests in the admin area.
